ComplyARM Seahorse Update
ComplyARM Dashboard is excited to announce our November 2017 update titled “Seahorse”. This new update includes some tweaks to existing modules as well as some performance tweaks and new system customizations. The Seahorse update was designed based on user feedback and requests. Below is an outline of the changes included in this update. Specific training is available for users needing additional information regarding the changes.
The Seahorse update includes the ability to modify the timing of notifications coming from the system. Prior to the update, all expiration notifications (for Licenses, Insurance, Certifications, and Memberships) were all set to send out 90, 60, and 30 days prior to the expiration of a record. That timing is now customizable on a system-wide basis for each of our customers. Your company can now modify the timing of these notifications based on your specific needs.
To modify the Notification Timing, the User must have Administrator privileges. Administrators can navigate to “Configuration” >> “Notification Setting”, then update the numbers shown to set the timing of notifications going forward. The screenshot below is provided as a visual example.
After collecting user feedback for the past few months on our Policy Management tool, we have made some updates to make the tool more intuitive and easier to manage for larger companies. The “Policy” tool is designed to store your companies policies & procedures, including a detailed log of changes, and a sign-off tool to keep track of who has been trained on what policies and when. Some of the User requested changes included:
1) Assign “Users” Instead of “Contacts” – Prior to this update, “Contacts” were the record type used to assign a policy record. Based on User feedback we have modified this feature so that “User” records are now used to assign each policy. This change was requested because customers pay more attention to the “User Role” vs. the “Contact Function”, and all Users are required to have an email address, where Contact records can exist without an email address. When assigning a Policy Record to a User Record a notification email is sent to that User, and now all assigned Users have an email address to avoid errors.
2) “Policy Only” User Permissions Update – The permissions available to Users with the “Policy Only” User Role has been further restricted to only show those policy records where the User has been assigned. Policy Only Users are now restricted from seeing any policies that they have not been specifically assigned to, further narrowing the scope of records they are able to see. Previously, the Policy Only role limited Users to only the Policy section, but we have further narrowed their scope to only the specific policy records they have been granted access to.
3) Policy and Procedures List – The Policy list now has a new “Status” filter to help narrow down the list to Policy records falling within a specific status. Now that many of our customers have already started updating the original policies they had uploaded to the system for management, we wanted to make it easier to narrow down the list to only those policies that are currently active. Expired policies should never be deleted, and we wanted to make it easier to find the current policy records.
Dropdown Option Management
ComplyARM Dashboard has a lot of drop down fields to help keep the data entered organized and make it easier to create useful reports. As part of this update we have added many of the drop down lists into the “Lookups” tool so that Administrator Users can modify drop down lists without having to wait. To update drop down lists, Administrators can:
1) Navigate to Lookups, 2) Select the List they wish to modify, 3) Add a new option or 4) Edit or Delete an existing option.
Events – Working Company Field
To help Users better understand which Events are their responsibility, we have created a new drop down field in the Events section. The “Working Company” field was designed to enable Users to list a responsible company on each Event record so that creditors, debt buyers and agencies can work together in a more organized fashion and avoid any Events falling through the cracks. The Working Company field drop down, displays all companies in the system. Working Company has also been added to the “Event List”, “Event Workflow” and several standard reports, including “Events”, “Events Process” and “Compliance Overview”. “Event List” and “Event Workflow” now also include a filter at the top of the list, enabling Users to filter Event records by the “Working Company” selected.
